At Varuna Salon Spa, we are committed to creating a refined, peaceful experience from the moment you book to the moment you leave. The following policies allow us to honor your time, protect our team, and maintain the high standards our guests expect.

 

How do I reserve an appointment?

We recommend booking in advance to secure your preferred date and time. Appointments may be scheduled by calling 410-268-2828, online at varunasalonspa.com, or through the Varuna App.

A valid credit card or gift certificate is required to reserve your appointment. Your card is securely stored and will only be charged in accordance with our cancellation policy.

Appointments are confirmed two days prior by phone, text, or email.

 

What is your cancellation policy?

Your appointment time is reserved exclusively for you.

We require a minimum of 24 hours’ notice to cancel or reschedule.

  • Less than 24 hours’ notice: 50% of the scheduled service
    • No-show appointments: charged in full

Cancellations and reschedules may be made:
• Through the Varuna App
• By calling the salon at 410-268-2828
• By replying “Cancel” to your confirmation text

This policy honors the livelihood of our service providers and allows us to extend availability to other guests.

 

What forms of payment do you accept?

We accept Visa, MasterCard, Discover, American Express, and cash.

A 3% surcharge is applied to all credit card transactions. Guests who pay with cash do not incur this fee.

Returned checks are subject to a $50 fee.

 

Why is there a 3% credit card surcharge?

Credit card companies charge a 3% processing fee on every transaction. Rather than increasing our service pricing across the board, a 3% surcharge is applied to credit card payments.

This surcharge replaces the administrative fee previously charged. In many cases, the 3% fee will be less than the former administrative fee.

Guests who pay with cash do not incur this fee nor an administrative fee.

We appreciate your understanding and support of our locally owned small business.

 

When should I arrive?

Please arrive 10–15 minutes early so you can unwind and transition into your experience.

Late arrivals may result in a shortened service to avoid disrupting other guests. Full pricing will apply.

You are always welcome to enjoy our relaxation space before or after your service. Tea, coffee, and spring water are complimentary.

 

Where do I park?

Parking is available out front and in the garage beneath Varuna, operated by the City of Annapolis. The garage uses the Metropolis parking app for contactless entry and exit. You park, enjoy your visit, and the system charges you electronically upon departure.

 

Can I tip through my credit card?

Yes. Gratuities may be added to your credit card payment.

Credit card gratuities are processed directly to your service provider and are subject to a 5% processing fee charged by the card network. Varuna is not involved with this fee and is pass-through.

Guests who tip in cash do not incur any fee.

 

What if I’m not happy with my hair color?

We want you to love your hair.

If you have any concerns, please notify us within 7 days of your appointment. Adjustments during that time are complimentary.

We do not issue refunds on services. Requests made after 7 days are subject to management approval and may incur additional charges.

This policy applies to the original consultation and does not include a change in direction from your initial request.

 

What about color corrections?

Color correction services require an in-salon consultation prior to scheduling and a 50% non-refundable deposit of the anticipated cost.

 

Do you offer pregnancy massage?

We do not perform massage during the first trimester of pregnancy.

A physician’s note is required for massage during the second and third trimesters.

Heat-based spa services are not permitted during pregnancy.

 

Do I need to disclose medications or skin conditions?

Yes. Please inform your provider of any changes to your skin, scalp, or medications prior to your service.

Skin patch testing is available upon request prior to your scheduled service. Please notify our guest coordinator when booking if you would like to schedule a patch test.

 

Can I book a group or bridal party?

Yes. Parties of three or more require a signed agreement and a 50% deposit. A 20% gratuity is added to spa parties. Cancellation and no-show policy is outlined in the signed agreement.

Bridal services require a 50% non-refundable deposit to reserve your date. The remaining balance is due on the wedding day, and a 20% gratuity is added.

Bridal cancellations made two weeks or more in advance receive a deposit refund minus a $100 administrative fee. Cancellations within two weeks forfeit the deposit.

Services missed on the wedding day are charged in full.

 

Are children allowed?

To preserve the peaceful atmosphere of Varuna, children are not permitted in the salon or spa area unless receiving a service. An adult must accompany minors while they are receiving their service.

At Varuna, we ask that children contribute to a calm environment. If the environment becomes disruptive, we reserve the right to reschedule the appointment to ensure the comfort of all guests.

 

What is your cell phone policy?

To maintain a tranquil and restorative space, we ask that devices be silenced upon arrival and conversations kept quiet. There is no phone calls allowed in the spa relaxation area.

 

What is your retail return policy?

Retail products may be exchanged within 30 days with receipt. We do not offer cash refunds.

 

Do you offer gift certificates?

Gift certificates are available in any amount and may be purchased in salon, by phone at 410-268-2828, online at varunasalonspa.com, or through the Varuna App.

Gift certificates are non-refundable and may not be redeemed for cash or used for tips. We are not responsible for any lost or stolen gift certificates.

Promotional and bonus gift certificates are valid for three months from the issue date and may be used toward services only.

 

Are you owned by Aveda?

No. Varuna Salon Spa is independently owned and family operated.

We are proud to be co-branded with Aveda as a Lifestyle Salon and Spa, their highest level of affiliation. This designation allows us to carry the Aveda name and reflects our commitment to their standards in sustainability, education, and performance.

Aveda’s plant-powered products and professional color are exceptional. We align with Aveda because the quality is next level and the mission matches our own.

Since 2006, Varuna has remained a locally owned small business serving the Annapolis community.
